CHECKLIST OF DUTIES: LIRT PUBLIC RELATIONS COORDINATOR

All LIRT publicity is channeled through the Public Relations Coordinator. If committees choose to do their own publicity they must send copies to Coordinator; committees may choose to use the Coordinator for advice; or committees may ask the Coordinator to do the actual publicity. All ALA Press Releases must be funneled through the Public Relations Coordinator.

FLIER BASKETS AT CONFERENCES: ALA allows each organization only one official flier basket at each conference. The Public Relations Coordinator receives the number from ALA well in advance of conferences and coordinates with all of the committee chairs who plan to offer fliers and expect to use the official basket (typically Chair of Conference Program and Liaison committees). This procedure ensures that all fliers receive the official ALA basket number. Therefore, as the Public Relations Coordinator you must be aware of any such materials emanating from the committees.

DEADLINES FOR PUBLICITY: Remind the committee chairs: The sooner the better. ALA press releases go to all major library publications and deadline dates for these vary greatly. There is more leeway for non-deadline type items such as sales of materials. To ensure the receipt of their committee’s publicity in a timely fashion, maintain regular contact with all committee chairs.

ONGOING DUTIES AND RESPONSIBILITIES FOR LIRT OFFICERS

_____ Attend ALA Midwinter and Annual conferences.

_____ Serve (as an ex officio member) of the Executive Board and Steering Committee.

_____ Monitor LIRT-S and LIRT-E and respond to any issues or requests that come up on the list.

_____ Ensure that your contact information is listed correctly on the LIRT Web site. (Note: this contact information will be listed in the ALA Handbook of Organization).

ONGOING DUTIES AND RESPONSIBILITIES FOR LIRT Public Relations Coordinator

_____Coordinate with committee chairs and LIRT officers to publicize LIRT information and events.

POST ANNUAL CONFERENCE

_____ Prepare a “to do” list from the Annual Conference.

BETWEEN ANNUAL CONFERENCE AND MIDWINTER

_____ Coordinate with the committee planning the Midwinter Discussion Forum to publicize this event.

_____ Develop flier for the Midwinter Discussion Forum. Get the basket number from ALA.

_____ Post announcements for Midwinter Discussion Forum on appropriate listservs.

_____ Submit announcement for Midwinter Discussion Forum for the December issue of LIRT News (deadline is typically October 15).

BEFORE MIDWINTER

_____ Recommend Midwinter Steering Committee and Executive Board agenda items.

_____ Complete Housing Information Form as requested by President.

_____ Sign up for BITES with LIRT at Midwinter Conference.

MIDWINTER CONFERENCE

_____ Attend Steering Committee and Executive Board meetings (see: Conference Meeting Schedule for times).

_____ Attend the LIRT Discussion Forum (typically on Sunday) if possible.

_____ Meet with Conference Program Committee to discuss their publicity needs for Annual Conference Program.

_____ Meet with the Electronic Resources Manager to determine your involvement with providing material to update the LIRT web site.

_____ Meet with Membership Committee to determine your involvement with their publicity needs (i.e., brochures).

_____ Coordinate getting notices of LIRT activities in Cognotes during the conference. Remind committee chairs at first Steering Committee meeting that you must receive articles by noon of the day before the issue for inclusion in Cognotes published during the Conference. (ex: For a Cognotes announcement, you must receive a notice for the discussion forum by Saturday noon from the appropriate committee if the program is scheduled for Sunday morning).

POST MIDWINTER CONFERENCE

_____ Contact the chairs of both the Liaison Committee and the Conference Program Committee to ensure agreement on timelines for providing publicity and appropriate combining of the list of library instruction related activities with any other LIRT publicity.

_____ Coordinate with the Conference Program chair to determine who will submit a brief announcement for Annual Conference Program for the March issue of LIRT News (deadline is typically February 15).

BETWEEN MIDWINTER AND ANNUAL CONFERENCE

_____ Coordinate with the Conference Program chairr to determine who will submit a detailed announcement for Annual Conference Program for the June issue of LIRT News (deadline is typically April 15).

_____ Coordinate with the Conference Program chair to create a flier for the Annual Conference program. Obtain official ALA basket number for publicity fliers from LIRT ALA Liaison.

_____ Coordinate with the Conference Program chair to send email announcements for the Conference Program to appropriate listservs.

_____ Write and submit an annual report to the LIRT President by June 1.

_____ Send copies of all LIRT fliers to the ALA Office.

_____ Remind committee chairs (particularly, the Conference Program chair) to send you articles for Cognotes at least two weeks before the conference to ensure inclusion in first issue of Cognotes.

BEFORE ANNUAL

_____ Recommend Annual Steering Committee and Executive Board agenda items.

_____ Complete Housing Information Form as requested by President.

_____ Sign up for BITES with LIRT at Annual Conference.

ANNUAL CONFERENCE

_____ Attend Steering Committee and Executive Board meetings (see: Conference Meeting Schedule for times).

_____ Attend the LIRT conference program (typically on Sunday) if possible.

_____ Present topic ideas for the Midwinter Discussion Forum and future Annual Conference programs at Steering Committee I meeting.

_____ Coordinate getting notices of LIRT activities in Cognotes. Remind committee chairs at first Steering Committee meeting that you must receive articles by noon of the day before the issue for inclusion in Cognotes published during the Conference. (ex: For a Cognotes announcement, you must receive a notice for the conference program by Saturday noon from the Conference Program committee if the program is scheduled for Sunday morning).

_____ Send Archivist copies of all publicity, articles, etc.

POST ANNUAL CONFERENCE

_____ Review this checklist and suggest any changes or additions to the LIRT Manual (send to Past President).
